HOUSING POLICIES

In an effort to be sure that our hotels are able to accept the max­i­mum num­ber of reser­va­tions, NACHC has imple­mented the fol­low­ing hous­ing poli­cies:

• Each reser­va­tion must have a unique name. No per­son may book more than one room in their name.
• A deposit of one nights room and tax will be taken at the time of book­ing in order to guar­an­tee your reser­va­tion.
• Should you need to can­cel, can­cel­la­tions must be made 30 days in advance in order to be refunded your deposit.
• Can­cel­la­tions within 30 days prior to your arrival date, deposits are non refund­able unless the hotel is able to resell your can­celed room.

By booking a reservation through ConferenceDirect, the Official NACHC Housing Provider, you agree to the following cancellation policy:

• Any cancellation for reservations booked before May 31, 2026 will incur a $50.00 cancellation fee. Beginning June 1, 2026, any cancellation received will incur a $100.00 cancellation fee, regardless of when the reservation was originally made or is cancelled.
• All cancellation fees will be charged to the credit card used to guarantee the reservation; this charge will appear on your credit card statement as “CONFDIRECT*CD-CHI”. Cancellations made directly with the hotel will also incur this fee.
• A cancellation acknowledgment will be sent to the email address on file for the reservation and will serve as the receipt for any fees charged.

HOUSING SCAM ALERT!

NACHC has been notified that an unauthorized housing company and / or travel agency is contacting exhibitors and attendees about sleeping rooms for the conference. This unauthorized organization may be part of a phishing scam designed to collect credit card information from conference registrants.

Our exclusive housing partner for all NACHC conferences is Conference Direct and the individual hotels with whom we contract for our housing blocks.

• Neither Conference Direct or the individual hotels will contact you to make your hotel reservations.
• Each NACHC conference attendee shall make their own reservation either by calling the hotel directly or through the online link found on the NACHC website.
• Any other housing agency, other than Conference Direct or the individual hotels listed on NACHC’s housing page are not authorized by NACHC, have not entered into agreements with any of our hotels to reserve rooms for NACHC attendees on behalf of the hotel, and are not able to guarantee rates and accommodations during the dates of the meeting.

Remember, NACHC, Conference Direct and all of our partnering hotels WILL NOT contact you by phone or email requesting credit card information. HOUSING FAQs

• Q: When does housing open?
  A: Housing opens on Monday, May 4, at 2:00 PM ET / 1:00 PM CT. To receive the NACHC group rate, all hotel reservations must be made by the cut-off date: Thursday, July 16, 2026.
  
  Q: How do I book my hotel?
  A: All reservations must be made through our official housing company, ConferenceDirect, by using the housing link provided to receive the NACHC Group Rate.
  
  Q: The website is loading slowly. What should I do?
  A: Please be patient. High traffic on launch day may cause delays. Do not refresh your browser, and this may push you further back in the queue.
  
  Q: I need to book multiple rooms for my organization, but I don't yet know who will be attending.
  
• Online: You must book one room at a time, and each booking must include a unique first and last name affiliated with your organization.
• Phone: Multiple Rooms may be booked, but again, each must have a unique name.

Q: I’m receiving an error that rooms aren’t available.
A: This usually means that one or more of your preferred nights are sold out. Please check back, as cancellations do occur and inventory may be released. 

Q: The hotel says it's sold out. Will more rooms be added?
A: Possibly. We are monitoring availability and may request additional rooms. However:

• This depends on hotel availability.
• The group rate may increase for any added rooms

Q: Can I book through a third-party site, such as Priceline or Expedia? I saw a cheaper rate and want points.
A: We strongly discourage booking through third-party websites. Booking via the official NACHC group link ensures:

• Your room is part of the offical block.
• You will not be walked or relocated if the hotel oversells.
• You remain connected to essential attendee communications and amenities.

Q: What if I need to cancel or modify my hotel reservation?
A: By booking a reservation through ConferenceDirect, the Official NACHC Housing Provider, you agree to the following cancellation policy:

Q: I can't find my hotel confirmation number - can NACHC resend it?
A: To obtain your hotel confirmation number, please contact the housing support team at ConferenceDirect via  NACHCchihousing@conferencedirect.com. We also recommend checking your spam or junk email folders for your confirmation email.

Q: I called the hotel but they said they don’t have my reservation. What happened? Do I still have a room?
A: Reservations are first held in our booking system and sent to the hotel 30 days prior to the event. At that time, the hotel (ARIA or Vdara) will charge the required booking deposit to the credit card on file and send an updated confirmation to the email address on the reservation. If you need assistance before that time, please contact the ConferenceDirect housing support team.
